We Insure Group, Inc. ("We Insure," "we," "us," or "our") operates the AgencyOS mobile application and web platform (collectively, the "Service"). This Privacy Policy describes how we collect, use, and protect information when you use the Service.

1. Who This Service Is For

AgencyOS is an enterprise tool designed exclusively for licensed insurance agents and authorized employees of We Insure franchise agencies. It is not intended for use by the general public or by children under 13. We do not knowingly collect personal information from children.

2. Information We Collect

a) Account and Authentication Data

We use enterprise Single Sign-On (SSO) through Okta and Microsoft Entra ID. When you sign in, we receive:

Full name and email address
Authentication provider used
Login timestamps and login count

We do not store passwords. Authentication is managed entirely by your organization's identity provider.

b) Professional Profile Data

Assigned role (agent, admin, corporate, etc.)
Branch assignment
Onboarding status

c) Data You Enter

Depending on which features you use, you may provide:

Client information for lead routing (name, email, phone, date of birth, address)
Property addresses for quoting
Chat messages when contacting support
Documents uploaded for wind mitigation inspections
Support ticket descriptions and attachments

d) Usage and Analytics Data

We use PostHog (US-hosted) to collect:

Pages visited and features used
Click and interaction events
Performance metrics
Error and crash reports

Analytics are only active in the production environment and are associated with your email address for troubleshooting purposes.

e) Device Information

Push notification device tokens (if you enable notifications)
Browser/device type and operating system (collected automatically by analytics)

3. Permissions

The app requests only the following device permissions:

We do not access your camera, microphone, contacts, location, or files beyond what you explicitly upload.

4. How We Use Your Information

To authenticate you and manage access to agency tools
To provide carrier search, quoting, and lead routing services
To deliver live chat support
To display relevant CMS content (news, events, resources)
To improve the Service through analytics and error tracking
To send push notifications about operational updates (with your consent)

5. How We Share Your Information

We do not sell your personal information. We share data only with the following categories of service providers, solely to operate the Service:

6. Data Storage and Security

All data is transmitted over HTTPS/TLS encryption
Authentication uses OAuth 2.0 with PKCE (Proof Key for Code Exchange)
Server-side data is stored in AWS (US region) with encryption at rest
On-device storage is limited to authentication tokens and UI preferences
API access is protected by key-based authentication

7. Data Retention

Account data is retained for the duration of your employment/relationship with a We Insure agency
Login history is retained indefinitely for security auditing
Analytics data is retained per PostHog's standard retention policies
Agency administrators can request deletion of user accounts

8. Your Rights

Depending on your jurisdiction, you may have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data
Opt out of analytics tracking
Receive a copy of your data in a portable format

9. California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect and the right to request its deletion. We do not sell personal information as defined by the CCPA.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes through the app or via email. Continued use of the Service after changes constitutes acceptance of the updated policy.
